Privacy Policy
Last updated: October 10, 2026
This policy explains how Emerald Security LLC (“Emerald Security”, “we”, “us”) collects, uses and protects personal information when you visit emeraldsecurity.net, contact us, or do business with us. The short version: we collect only what we need to answer you and serve you, we don’t use advertising or tracking cookies, and we never sell your information.
1. What this policy covers
This policy covers our website and our own business communications and records. When we provide IT, network or security services to an organization, any data we can access on that organization’s systems belongs to the client and is handled under our service agreement with them, not this policy.
2. Information we collect
Information you give us
- Contact form: your name, email address and message, the topic you choose, and optionally your organization, phone number and town or site location.
- Email, phone and meetings: whatever you choose to share when you write, call or book a consultation with us.
- Clients: contact and billing details, service history and support requests, kept in our client portal and help desk so we can provide service and invoice you.
Information collected automatically
- Server and security logs: like any website, the systems that deliver our pages receive technical details such as your IP address, browser type, the page requested and the time. These are used to keep the site running and secure.
- Spam protection: our contact form uses Cloudflare Turnstile, which checks technical signals from your browser to tell people from bots. It does not use advertising cookies.
- Visitor statistics: we may use Cloudflare Web Analytics, which counts page views without cookies and without building a profile of you.
We do not use advertising, retargeting or social-media tracking on this website.
3. How we use your information
- To reply to your enquiry and give you the quote, advice or support you asked for
- To provide the services you’ve engaged us for, including support, scheduling and billing
- To keep our website, systems and clients secure, and to prevent spam and abuse
- To keep business, tax and accounting records and meet legal obligations
If you’re a client, we may email you about your account, service changes or security issues that affect you. We won’t add you to a marketing list without your permission, and you can opt out of non-essential emails at any time.
4. How we share information
We do not sell or rent your personal information, and we do not share it for advertising. We share it only:
- With service providers who help us run our business and are allowed to use it only for that purpose, such as our website host and email delivery (Cloudflare), our email and file-storage provider, and our payment processors and accounting tools.
- With your permission, for example when you ask us to coordinate with a vendor or internet provider on your behalf.
- When required by law, or to protect the rights, property or safety of our clients, the public or us.
- In a business transfer, if Emerald Security is merged or sold, in which case this policy continues to apply to your information.
5. Links and third-party services
Our website links to other services, including our online booking calendar, our system status page, and websites of the manufacturers whose products we install. Those services have their own privacy policies, and we’re not responsible for how they handle information.
6. Cookies and Do Not Track
Our website doesn’t set its own cookies. Cloudflare may set strictly necessary security cookies when you use the contact form or to protect the site from attacks. Because we don’t track visitors across other websites, there is nothing for a “Do Not Track” or Global Privacy Control signal to switch off, but we honor them all the same.
7. How long we keep information
We keep contact-form messages and email correspondence for as long as needed to respond and to keep a record of our dealings with you. We keep client and billing records for as long as you’re a client and afterward for as long as tax and legal requirements oblige us to. Server and security logs are kept only for a short period. When we no longer need information, we delete it or make it anonymous.
8. Security
We protect information with the same practices we use for our clients: encryption in transit (this site is served only over HTTPS), access limited to the people who need it, and systems that are kept patched and up to date. No method of transmission or storage is perfectly secure, so we can’t guarantee absolute security, but if a breach affects your information we will tell you as the law requires.
If you need to send us something sensitive, ask us first — we can arrange encrypted email using our PGP public key.
9. Your choices and rights
You can ask us to:
- tell you what personal information we hold about you and give you a copy
- correct information that’s wrong or out of date
- delete your information, unless we need to keep it for legal or billing reasons
- stop sending you non-essential emails
Email hello@emeraldsecurity.net and we’ll respond within 30 days. We may need to confirm your identity first. We won’t treat you differently for making a request.
California residents: we don’t sell or share personal information as those terms are defined in California law, and we don’t disclose personal information to third parties for their own direct-marketing purposes.
10. Children
Our website and services are for businesses and adults. We don’t knowingly collect personal information from children under 13. If you believe a child has sent us information, contact us and we’ll delete it.
11. Where information is processed
We’re based in California, and we store and process information in the United States. Our website is delivered through Cloudflare’s global network, so technical data about your visit may be handled by the Cloudflare data center closest to you.
12. Changes to this policy
We’ll update this page when our practices change and revise the “Last updated” date at the top. If a change materially affects how we use information we already hold, we’ll tell clients directly.
